Great Dunmow Fitness Hub: Terms & Conditions

 

Welcome to the Great Dunmow Fitness Hub! Please take a moment to read our Terms and Conditions (T&Cs) before commencing any activities in our facility. By using our services and facilities, you are agreeing to abide by these T&Cs.

 

Definitions: 

 

We = Great Dunmow Fitness Hub

 

1. Membership & Access

 

1.1. All members must be 16 years or older unless specified otherwise in particular programs or activities.

1.2. To enter the club you will be issued a temporary code to use on the keypad. This will be replaced with a membership card so please speak to a member of the team to get your card at the earliest possible opportunity. 

1.3. Membership cards are non-transferable and can only be used by the registered member.

1.4 Please note we will turn off the door entry system 30 minutes before we close each day. 

 

Entry System Abuse Policy

 

Your PIN number / Entry Card can only be used by you: Your PIN number / Entry Card is issued solely for your use, as your membership is personal to you and only covers your use of a gym. You are responsible for keeping your PIN number / Entry Card secure and confidential at all times. The PIN number / Entry Card remains our property at all times (unless agreed otherwise and evidenced in writing).

Use of PIN numbers & Entry Card is monitored: In the interests of the safety and security of all our members, use of PIN numbers / Entry Card and access is monitored and individuals using PIN numbers / Entry Card may be asked to provide proof of identification.

What we will do if we think your PIN number / Entry Card has been misused: Should we believe that your PIN number / Entry Card has been used by another individual or individuals we may (in our discretion) decide to conduct an investigation. If we do so we will: (a) inform you, via email, that we believe your PIN number / Entry Card has been used by another individual or individuals and ask you to provide us with reasonable assistance to investigate the matter; and (b) following our investigation we will contact you, via email, to inform you of our findings and our proposed course of action, which may include one or more of the steps set out in paragraph 4 below.

Our Right to make additional charges and/or cancel your membership: If you unreasonably refuse to cooperate with our investigation, or following our investigation we have reasonable grounds to believe that your PIN number/ Entry Card was used, with or without your knowledge and/or consent, by another individual or individuals, depending on the particular circumstances of each case, we reserve the right to take one or both of the following steps, which are in addition to any other legal rights that we may have : (a) to apply a penalty charge to your membership fees (and increase your direct debit payment(s) accordingly).  The penalty charge will be calculated as being equal to the daily membership charge (that applied at the time of use) for each occasion on which your PIN number / Entry Card was used by that individual/those individuals; and/or (b) in the event of serious misuse of your PIN number / Entry Card, for example, your PIN number / Entry Card has been used on repeated occasions and/or by more than one individual, to notify you, via email, that we are cancelling your membership with immediate effect, and no refunds will be given.

Your responsibility for another’s conduct: If we have reasonable grounds for believing that you knowingly provided your PIN number / Entry Card to another individual or individuals, or allowed unauthorised entry following your entry to the gym (Known as tailgating) in addition to our rights referred to in paragraph 4 above, we may hold you responsible for the conduct of the individual(s) while on our gym premises, and liable for any loss we suffer as a consequence of that conduct.


 

2. Health & Safety

 

2.1. All members must complete a health questionnaire before using the gym facilities.

2.2. If you have any medical conditions or concerns, you should consult with a doctor before starting any exercise regimen.

2.3. It's the member's responsibility to notify the gym staff of any medical or physical conditions which may affect their ability to exercise safely.

2.4 There may be times when the Great Dunmow Fitness Hub operates without on-site staff ("unmanned periods"). During these periods, members choose to access and use the facility at their own risk. Members must ensure they are comfortable with using the gym equipment safely without supervision. The gym will not be liable for any injuries or damages sustained during unmanned periods. Members are expected to exercise caution, be aware of their surroundings, and understand their limits to ensure their safety and that of others. If you are uncertain about any equipment or its usage, we advise refraining from using it until staff are available to assist or provide guidance.

 

3. Personal Conduct

 

3.1. Members are expected to treat staff and fellow members with respect and courtesy.

3.2. Aggressive or inappropriate behaviour will not be tolerated and may result in suspension or termination of membership.

3.3. Proper athletic attire is required. Closed-toe shoes, shirts, and appropriate bottoms must be worn at all times.

 

4. Equipment & Facilities

 

4.1. Members should wipe down equipment after use with the provided cleaning materials.

4.2. Any damage to equipment due to misuse or negligence will be charged to the responsible member.

4.3. The usage of personal training services not associated with Great Dunmow Fitness Hub is prohibited unless given prior written approval by management.

4.4 If you lose your membership card we reserve the right to apply a £5 charge 

 

5. Cancellations & Refunds

 

5.1. All membership cancellations require 30 days written or email notice.

5.2. There will be no refunds for paid-up memberships unless there's a proven medical condition preventing the member from continuing with any form of exercise.

 

6. Changes to Terms & Conditions

 

6.1. Great Dunmow Fitness Hub reserves the right to change these terms and conditions at any time without prior notice.

6.2. Updated T&Cs will be posted at the facility and on our official website.

6.3 We also reserve the right to update our prices, but notice will be given to members before this happens. 

 

7. Lost Property

 

7.1. Great Dunmow Fitness Hub is not responsible for lost or stolen items. Lockers are provided for the temporary storage of personal items.

7.2. Items left in lockers overnight will be removed and stored in the lost and found for up to 30 days.

7.3 Padlocks must be removed from lockers at the end of every session. If they are not, we reserve the right to remove them.

 

8. Opening Hours

 

8.1. Great Dunmow Fitness Hub reserves the right to change its hours of operation, close temporarily for maintenance, or restrict access to the club for private events or emergencies without advance notice.

 

9. Liability

 

9.1. All members use the gym and its facilities at their own risk. Great Dunmow Fitness Hub is not liable for any injury, damage, or loss incurred while using the facility, unless caused by the gym's direct negligence.

 

10. Data Protection

 

10.1. All personal data provided by members will be treated confidentially and will not be shared with third parties, except as required by law.

 

11. Complaints & Feedback

 

11.1. We encourage feedback and take all complaints seriously. Please address any concerns to the management team in writing. You can contact us on greatdunmowfitnesshub@gmail.com

 

12. Gym Equipment Ownership & Theft

 

12.1. All equipment and machinery within Great Dunmow Fitness Hub are the property of the gym. Removing any equipment, machines, or other items from the premises without express permission from the management is strictly prohibited.

12.2. Members or guests found stealing or attempting to remove property from the gym will face immediate termination of their membership, and legal action will be pursued. Great Dunmow Fitness Hub takes theft seriously and will prosecute to the fullest extent of the law.

 

13. Personal Training

 

13.1. Only certified trainers employed or approved by Great Dunmow Fitness Hub are permitted to provide personal training services within the facility.

13.2. Members cannot act as personal trainers for other members unless they have received explicit approval from the management.

 

14. CCTV & Surveillance

 

14.1. For security purposes, Great Dunmow Fitness Hub operates 24/7 CCTV surveillance. By entering the facility, members consent to being recorded. Footage will be stored securely and only accessed for security and legal purposes.

 

15. Membership Freeze

 

15.1. Members can apply to freeze their membership for a specified period, subject to certain conditions, such as medical reasons or extended vacations.

15.2. A request to freeze membership should be submitted in writing and may incur a nominal fee.

 

16. Hygiene and Cleanliness

 

16.1. Members are expected to maintain a high standard of personal hygiene and cleanliness while using the facilities. This includes, but is not limited to, wearing clean workout attire, using towels on gym equipment, and refraining from using the gym when suffering from contagious illnesses.

 

17. Communication and Notifications

 

17.1. Great Dunmow Fitness Hub will primarily communicate with members via email. It's the responsibility of the member to ensure the gym has their current email address and to check for regular updates.

 

18. Termination by the Gym

 

18.1. Great Dunmow Fitness Hub reserves the right to terminate a membership if a member fails to comply with these terms and conditions, or for any reason that the management deems to be in the best interests of other members or the gym.

 

19. Children and Minors

 

19.1. Unless specified in certain programs or events, children under 16 are not permitted in the gym areas. If allowed, they must be accompanied by an adult at all times.

 

By registering for membership or using our facilities, you are confirming that you have read, understood, and agree to be bound by these terms and conditions.

  1. Eligibility: The giveaway is open to residents of the United Kingdom aged 16 years or over, except employees of Great Dunmow Fitness Hub and their close relatives and anyone otherwise connected with the organisation or judging of the competition.

  2. Entry Period: The giveaway begins on 30/08/2023 and ends on 10/09/2023 at 11.59 PM. Entries submitted after the end time will not be considered.

  3. How to Enter: Participants must tag a friend on the designated Facebook post and sign up to a monthly or yearly membership with Great Dunmow Fitness Hub. Multiple entries from the same person will be disqualified.

  4. Prize: The prize is as follows: One month free membership at Great Dunmow Fitness Hub. The prize is as stated, and no cash or other alternatives will be offered. The prize is not transferable.

  5. Winner Selection: The winner will be chosen at random from all valid entries received during the Entry Period. The winner will be notified by direct message (DM) on Facebook within 28 days of the closing date. If the winner cannot be contacted or does not claim the prize within 14 days of notification, we reserve the right to withdraw the prize from the winner and pick a replacement winner.

  6. Publicity: By entering this giveaway, participants agree to Great Dunmow Fitness Hub using their name and entry for publicity purposes.

  7. Data Protection: Any personal data relating to participants will be used solely for the purposes of this giveaway by Great Dunmow Fitness Hub and will not be disclosed to a third party without the individual’s prior consent.

  8. General: Great Dunmow Fitness Hub reserves the right to cancel the competition if circumstances arise outside of its control including a lack of entries. The competition and these terms and conditions will be governed by UK and any disputes will be subject to the exclusive jurisdiction of the courts of UK

  9. Facebook: This promotion is in no way sponsored, endorsed or administered by, or associated with, Facebook. By participating, you hereby release and hold harmless Facebook from any and all liability associated with this promotion.

  10. Acceptance of Terms: Entry into the competition will be deemed as acceptance of these terms and conditions.
